Office Manager

Overview
The Valley Child Development Center is a nonprofit organization with 501(c)3 status that receives operational income through family tuition, donations, fundraising, and grants. The Office Administrator is crucial for supporting the daily operations of The Valley Child Development Center by maintaining financial records of the center and assisting the Executive Director with general administrative support in the day-to-day tasks.

This position reports to the Executive Director and to The Valley Child Development Center Board of Directors.

Responsibilities

  • Compile, enter, review and maintain financial information and verify its accuracy.
  • Process donations, center tuition payments, resolve payment issues, collect late payments, and assist in managing grants.
  • Maintain and track all cash flow, accounts receivable, accounts payable, and submit payroll expenses.
  • Maintain and reconcile monthly bank accounts.
  • Maintain procedures for staff financial transactions (i.e., reimbursement for expenses, training expenses, etc.)
  • Process Child & Adult Care Food Program (CACFP) and Child Care Subsidy and Maximus reporting documents
  • Prepare documents for special projects as needed, including grant financials.
  • Work with Board Treasurer and Director to prepare annual budget, financial assessments, monthly reports, and taxes.
  • Prepare family tuition bills
  • Assist Executive Director in maintaining attendance reports of when children arrive and leave the Center and assist with meal counts as required for CACFP, assist in tracking staff sick and vacation leave.
  • Assist Executive Director in filling in for the Food Service Manager when she/he is absent.
  • Update website and Center calendar as needed.
  • Update annual enrollment paperwork.
  • Follow all center policies and state regulations.
  • Maintain personal professional development plan to ensure continuous quality improvement.

Skills

  • HS Diploma or GED required- Associates/Bachelors in Business preferred.
  • 1-3 years of financial experience.
  • Excellent skills in accounting software, Excel, and Google Drive applications.
  • Strong orientation in funding models with multiple revenue streams.
  • Strong organizational, oral and written communication, and multitasking skills and effective technology skills.
  • Careful attention to detail; ability to track and rectify any discrepancies, however small.
  • Able to operate with minimal supervision, with initiative and discretion.
  • Dependable, proactive, and dedicated to supporting the high quality of The Valley Child Development Center
  • Must clear a full background check.

Job Type: Full-time

Pay: $17.00 – $20.00 per hour
