BASIC FUNCTION: This position is responsible for the coordination, implementation and all logistics of high-quality special events and programs which increase fundraising, engagement and result in positive public relations for Hastings Catholic Schools. This includes, but is not limited to, all fundraising events, and events which foster the growth and sustainability of lifelong relationships with alumni and other stakeholders including donors, parents, employees, parishioners, community members, past parents, to increase fundraising and engagement with and for Hastings Catholic School.

PRINCIPAL ACCOUNTABILITIES include but are not limited to:

 

Coordinate fundraising special events and programs. Including but not limited to:

·       Perform all job duties with the highest level of donor confidentially.

·       Coordinate, administer, and ensure execution of all logistics and operations of HCS and HCSF fundraising special events (locally and regionally). Management and responsibility for each event timeline. This includes, but is not limited to, selection of location, contract negotiations, food and beverages, travel, AV, and décor. Would attend all volunteer and employee committee meetings. Would work at each event and be present before, during and after events. Such events include, but are not limited to:

§  Holiday Bazaar and Chicken Noodle Dinner – November

§  B.L.U.E. and B.L.U.E. Auction – March/April

§  Spring Alumni Basketball and Volleyball Tournament – Spring

§  Alumni Class Reunions, work in conjunction with Ex. Director of Foundation – throughout the year

§  Other Reunions or Events

§  Homecoming Events – Fall; in conjunction with Director of Marketing and Events

§  HCAA Events:

1.     Blue and White Golf – June

 

2.     School Year Fundraising Event – School Year

3.     Youth Tournaments – Volleyball in Fall, Wrestling in winter

4.     Other

§  Other Fundraisers or Programs including but limited to:

Ag Boosters, FFA, Music Boosters, student groups

·       Manage all events set-up logistics and clean-up logistics of each event, utilizing and updating the school and Student Help Check List.

·       Manages yearly Family Participation Plan in conjunction with HCAA.

·       Assist in recruiting, managing, and training event volunteers in conjunction with other employees.

·       Work in conjunction with Director of Marketing and Events on school events and helping as directed and assigned.

·       Assist in the building of relationships with a wide range of alumni, donors, parents, parishioners and other stakeholders.

·       Speak and present to alumni, students, parents, parishioners, community members and stakeholders when requested and in conjunction with staff and administration.

·       Assist in ensuring that HCS administration and staff are well-prepared for events and reunions by reviewing details, timelines, expectations, and follow-up procedures.

Advise and educate students on the importance of their role in the Alumni Association and Advancement Office. This includes, but is not limited to:

·       Train students, employees, and volunteers on their assignments and duties for events.

·       Assist in the coordination of efforts to increase student understanding of the Alumni Association and Foundation.

·       Assist in and work in conjunction with staff, students, volunteers from student groups and booster programs as they plan their events and activities.

Coordinate research and communication efforts, including, but not limited to:

·       Assist Foundation and Nevrivy Center Office staff in historical research efforts and archive information important to the Alumni Association and Development office.

·       In conjunction with the Director of Marketing and Events, coordinate mailings and communications for all fundraising special events and programs as needed.

·       Follow up with all written/email/telephone correspondence.

 

General Duties Including, but not limited to:

·  Ensure all staff and volunteers working with donors complete their duties with the highest level of donor confidentially.

·  Learn to use/operate any new job-related programs and equipment.

·  Work collaboratively and positively support other team members.

·  Participate in designated meetings and mandatory trainings.

·  Consistently model a high degree of customer service, student and donor focus.

·  Professionally represent Hastings Catholic schools at all times.

·  Some travel may be required.

·  All other duties as assigned.

 

 

QUALIFICATIONS:

The incumbent must have an understanding and passion for the Catholic mission and possess an ability to articulate basic teachings of the Catholic Church as appropriate for this position, especially when representing the mission of Hastings Catholic Schools to the general public. Excellent communication skills, both written and oral, are essential to influence and engage a wide range of stakeholders. Strong organizational and time management skills are essential, especially as they relate to the myriad of tasks involved in execution of events for the highest level of success. Must possess a valid driver’s license in order to attend meetings as well as assist at school-related events as requested.

TYPICAL PHYSICAL REQUIREMENTS/WORKING CONDITIONS

·       Must be able to stoop, sit, stand, push, pull, and stretch consistent with an office environment;

·       Must be able to implement event set-up and take-down;

·       Must be able to drive to various locations as required;

·       Must be able to use standard office equipment such as computer, telephone, etc. in conjunction with administrative duties;

·       Non-traditional work hours are required: nights, weekends – all as appropriate to the events and tasks at hand.
