Secondary Building Secretary (Grades 7-12)

Position Purpose
Under the direct supervision of the principal or other administrator, to provide clerical, secretarial and administrative assistance to school administrators at a school site, conveying information regarding school functions and procedures; and supporting the broad array of services provided to students, parents, instructional and support employees.

Essential Functions

  • Prepares, copies and distributes notices, memoranda or other correspondence for the purpose of informing school employees regarding activities, events or other work-related matters.
  • Assists in planning and scheduling school events and activities, and maintaining calendar of school and students events for the purpose of coordinating and scheduling events such as orientation, open house, field trips, sporting events, assemblies, conferences, etc.
  • Assists in maintaining documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance.
  • Prepare purchase orders for the purpose of submitting to the school district’s accounting/finance office.
  • Assists in maintaining inventories of supplies and materials for the purpose of ensuring items’ availability.
  • Assist visitors to the office, including students, parents, substitutes teachers, and others.
  • Answers telephone calls, and provide information and assistance to callers.
  • Distribute incoming mail appropriately; sends outgoing mail.
  • Evaluates situations for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
  • Registers new students, making sure forms are completed, obtaining transcripts and other documentation as needed, and entering data into computer system regarding enrollment and student records (e.g., transportation, free and reduced lunch program, attendance, withdrawals).
  • Responds to inquiries from students, parents and employees, providing information, facilitating communication among parties and/or providing direction.
  • Supporting the school nurse or other administrative assistants or secretaries as necessary.

Additional Duties
Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the school.

Travel Requirements
Limited travel to and from meetings may be required.

Physical and Mental Demands, Work Hazards
Works in standard office and school building environments.

Qualification Profile

  • Graduation from high school.
  • Successful experience with office management or school environment preferred.

FLSA Status:       Non-exempt

This position is subject to a veterans’ preference.

Additional Information

Start date is to be determined in late Spring 2024.

Salary Range $14.47 to $22.72
Work Time
  • 10.5 months – Full-time August through May
  • Maximum of 80 hours to flex in June and July as needed and to be coordinated with the building principal.
  • Time and ½ will be paid if and when employees work more than 40 hours in one week
Wage Placement Initial placement will normally be at the bottom of the range or comesurate with experience
Training Training will be required as a part of the position and employees will be paid as related to the role
Sick Leave Ten (10) Month Employees earn one day per month, ten (10) days per year.  Accumulative is limited to twenty (20) days
Insurance
  • Employees working 30 hours per week or more may elect to receive a
  • Single Health Insurance Coverage.  The board currently pays 100% for a $ 4,000 deductible insurance plan through BC/BS.
  • $10,000 Life Insurance Plan, Long-Term Disability Plan, participation in Employees working 15 hours per week or more may participate in the district’s 125 Plan.  The district does not contribute to the plan.
Retirement Employees contribute to the Nebraska Teachers’ Retirement System.  The school district also contributes 101% of the employee’s contribution.  Employees are vested in the plan after five consecutive years
Paid Holiday Six (6) paid holidays including New Year’s Day, Good Friday, Memorial Day, Labor Day, Thanksgiving, & Christmas are paid at the hourly rate
Workman’s Comp Employees are covered by Workman’s Compensation insurance as required by law
Work Schedule Employee’s schedules are offset to cover the school day determined by the building principal and schedule.  Options may include 7:00 a.m. to 4:00;  7:30 a.m. to 4:00 p.m.; and 7:45 a.m. to 3:45 p.m.
